Built for estate agents, lettings teams and property managers

Turn property emails into review-ready records before they reach your CRM.

Property Dossier Studio takes the messy information vendors and landlords send by email, structures it into a working property dossier, highlights what is missing, and prepares a clean handoff for your CRM.

Designed to sit before your existing CRM, not replace it.

The admin problem

The property details are usually there. They just arrive in the wrong shape.

A landlord or vendor rarely sends a perfect CRM record. Information arrives across emails, follow-ups, attachments and conversations. Someone still has to read it, decide what matters, re-key it, chase what is missing and make sure the right record is updated.

Information arrives in stages

Rent today. EPC tomorrow. Access instructions three days later. The property record gets patched together over time.

Staff re-key the same facts

Details are copied from email into CRM fields, notes, portal records and internal checklists.

Missing details are easy to miss

Long emails can contain twenty useful facts. If two are overlooked, the gap may not surface until later.

How it works

From messy instruction to CRM-ready dossier.

01

Import the property email

Bring in a marked vendor or landlord email from the connected mailbox.

02

Extract the useful facts

Property, contact, rent or price, EPC, council tax, deposit, access and more are proposed for review.

03

See what is missing

The dossier shows critical gaps, supporting items and the next sensible action.

04

Review the evidence

Staff confirm the information against its source and keep official or document checks separate.

05

Hand off to the CRM

Copy or download a clean internal handoff summary once the core record is ready.

Where it fits

It is not another estate agency CRM.

Property Dossier Studio sits in front of the CRM. It handles the messy intake stage, then hands over a cleaner, reviewed property record to the systems your team already uses.

Property Dossier Studio is for

  • Structuring vendor and landlord emails
  • Building a property record progressively as new information arrives
  • Showing what is missing or still needs review
  • Keeping source evidence against key facts
  • Preparing a clean CRM handoff

It is not trying to be

  • Your CRM
  • Your property portal
  • An AML provider
  • A legal compliance certificate
  • A replacement for agent judgement
What teams get

Less copying. Fewer loose ends. A clearer handoff.

Progressive property dossiers

Follow-up emails can update the same working property record without starting again.

Source-aware information

Vendor-supplied details stay linked to their source and remain distinct from official checks.

Missing-information prompts

The Studio surfaces what still needs to be requested, checked or supplied.

CRM-ready handoff

Once core information is reviewed, staff can copy or download a compact internal summary.

“The value is not that AI can read an email. The value is that the property record keeps getting more complete as information arrives.”
Pilot with a real workflow

Give us one real instruction process.

We’ll use a small set of genuine vendor or landlord emails to show where the Studio can reduce re-keying, highlight missing information and prepare cleaner CRM handoffs for your team.

FAQ

The obvious questions.

We already have a CRM. Why would we need this?

Because the Studio handles the unstructured information before the CRM record is ready. It is designed to reduce the reading, copying, checking and chasing that still happens around the CRM.

Does it verify legal compliance?

No. It records what has been supplied, what source it came from and what the agent has reviewed. Official, legal and document checks remain separate and the agency keeps responsibility for professional judgement.

Does it only work with Gmail?

No. The product is designed around a connected company mailbox, not a specific email provider. The pilot can use the simplest connection method for the agency.

Can it handle lettings and property management?

Yes. The current workflow supports lettings information such as deposit, furnishing, availability, gas safety, EICR, maintenance authority, stopcock, fuse board and access instructions.

Is this only for the UK?

The current pilot is configured for England. The underlying product is being designed so country-specific property workflows can be added separately.
